We’re looking for a highly capable Executive Assistant to support our CEO & Co-Founder and provide executive support across the C-suite as needed. You’ll partner closely with the CEO while also supporting other C-suite leaders as priorities require. You’ll be a strategic thought partner and operational anchor owning scheduling, communication flow, and execution of priorities while anticipating needs before they arise.
The ideal candidate is detail-oriented, discreet, proactive, and thrives in an environment where priorities move quickly, and ambiguity is part of the job.
What you’ll do:
Manage complex, ever-changing calendars for the CEO and additional C-suite leaders as needed
Coordinate scheduling across time zones with internal teams, board members, investors, and external partners
Act as a gatekeeper for executive time, prioritizing meetings and ensuring focus on high-impact work
Prepare agendas, briefing materials, and follow-ups to drive effective meetings
Handle confidential and sensitive information with the highest level of discretion
Draft and manage correspondence on behalf of executives when appropriate
Coordinate leadership, board, and investor meetings
Track action items and ensure follow-through across teams and stakeholders both internally and externally
Support special projects, strategic initiatives, and cross-functional coordination
Assist with board meetings, offsites, leadership planning, and company-wide events
Help improve executive operations, workflows, and internal communication processes
Coordinate complex domestic and international travel for executives
Manage itineraries, logistics, and expense reporting
You have 5+ years of experience supporting senior executives, ideally in a startup or high-growth environment
You’re comfortable supporting multiple executives and adjusting priorities as needed
You’re proactive, highly organized, and able to anticipate needs
You communicate clearly and professionally with executives, investors, and external partners
You have strong judgment, emotional intelligence, and a calm presence under pressure
Required Qualifications
Proven experience as an Executive Assistant supporting C-level leaders
Strong proficiency with Office 365, Navan, and other CRM’s
Excellent organizational, time management, and communication skills
Ability to work onsite in Burlingame, CA
Desired Qualifications
Experience supporting founders and scaling executive teams
Familiarity with board and investor operations
Comfort operating in regulated or highly confidential environments

For Canada Roles: Successful candidates must obtain and hold a security clearance at the reliability status level, and pass security assessment for the Canadian Controlled Goods Program (CGP) and ITAR.

Compensation Range: $100K - $140K
