About the Role

At H3X, we are building the most advanced electric motors in the world for sustainable aviation, marine, industrial, and defense applications. At 12 kW/kg continuous, the HPDM family of integrated motor drives is a step change in electric propulsion technology and removes one of the main barriers blocking widespread proliferation of electric and hybrid aircraft. Our motors range in size from 30 kW to 30 MW, include integrated drives, and are 3X lighter than competitors’ systems.

We are hiring an Associate Executive Assistant to support efficient office operations and help maintain a well-organized workplace. This hands-on position provides operational and administrative support to internal teams and vendors in a fast-paced environment. This role offers an excellent opportunity for someone to develop skills in executive support and operations, gain cross-functional exposure, and build strong organizational and communication capabilities. The ideal candidate is proactive, adaptable, and able to manage multiple priorities with a high level of attention to detail, along with a desire to take on increasing responsibility over time.

Responsibilities

Core Responsibilities:
Provide high-impact administrative and operational support across the organization, helping ensure the office, team, and leadership operate smoothly and efficiently.

  • Serve as a point of contact for office operations, facilities vendors, and workplace logistics

  • Support internal meetings and events, including materials, scheduling, and onsite coordination

  • Support planning and logistics for external company events and onsite activities

  • Assist with accounts payable processes, including invoice tracking and documentation accuracy

  • Support HR-related administrative processes and recordkeeping

  • Maintain organized systems for digital files, supplies, and internal documentation

Growth Opportunities:
As skills and business familiarity continue to grow, the role can take on increased direct support for executive leadership.

  • Supporting board, investor and customer meeting preparation, including logistics and materials coordination

  • Providing discreet support in handling sensitive company and employee information

  • Partnering with leadership on compliance and operational requirements, including work with external legal counsel, insurance renewals, tax incentive programs, and state reporting

  • Contributing to process improvements that create more scalable systems for leadership and company operations

Required Qualifications

  • Bachelor’s degree in a related field preferred or equivalent work experience

  • 2 years of experience in administrative, office operations, or coordination role preferred

  • Highly organized with the ability to prioritize tasks and manage time efficiently

  • Exceptional attention to detail and commitment to quality

  • Ability to work independently with minimal supervision

  • Flexible and capable of adapting to shifting priorities in a fast-paced environment

  • Excellent written and verbal communication skills to effectively share information and collaborate across teams

  • Proficient in Microsoft Office

  • A high degree of emotional intelligence, with the ability to collaborate respectfully and empathetically across teams, and handle sensitive or confidential information with discretion

  • Annual Salary Target $50,000 - $80,000 based on experience
