Role Overview
The Quality Data Assurance is responsible for ensuring all product documentation, certifications, and quality records are complete, accurate, and compliant prior to customer shipment. This role serves as the final verification point before product release, ensuring documentation integrity, full traceability, and compliance with customer, regulatory, and company requirements.
Working closely with Production, Quality Engineering, Inspection, Supply Chain, Program Management, and Shipping, the Data Assurance Specialist verifies manufacturing records, material certifications, process certifications, and customer-specific documentation while supporting source inspections and on-time delivery. This position is critical to maintaining customer confidence and protecting the integrity of the Quality Management System.
Key Responsibilities
- Review completed manufacturing travelers for completeness and accuracy.
- Verify all required operations, inspections, approvals, and signatures are complete.
- Collect, review, and validate material certifications, process certifications, and special process documentation.
- Verify full product traceability from raw material through final shipment.
- Review customer purchase orders and contractual quality requirements to ensure all required documentation is included.
- Prepare complete customer data packages for shipment.
- Generate Certificates of Conformance (C of C) and other required quality documentation.
- Submit customer eCert packages and electronic documentation as required.
- Prepare and coordinate documentation for customer source inspections.
- Support customer source inspectors during on-site inspections.
- Verify final part marking, labeling, serialization, and piece counts prior to shipment.
- Confirm all required documentation has been approved prior to shipment authorization.
- Release completed documentation packages to Shipping upon customer approval.
- Close manufacturing travelers following shipment and ensure proper document retention.
- Maintain organized electronic and physical quality records in accordance with company procedures.
- Identify documentation discrepancies, missing certifications, traceability gaps, or compliance risks and immediately escalate issues to Quality leadership.
- Support internal audits, customer audits, and AS9100 compliance activities.
- Maintain document control and record retention requirements.
- Support continuous improvement initiatives to improve documentation accuracy and processing efficiency.
- Maintain clean and organized work areas following 5S principles.
- Perform cross-functional duties as required.Confirm all travelers are complete and all stamps are present.
- Support 5-S and adhere to health, safety, and environmental company guidelines.

Required Qualifications
- High School graduate or equivalent.
- Ability to communicate effectively in oral and written English.
- Ability to read and interpret product specifications and blueprints
- Proficiency in MS Office (Outlook, Word and Excel).
- Effective communication and interpersonal skills.
- Self-starter and able to work independently as well as collaboratively.
- Highly organized, detail-oriented and self-motivated with ability to multi-task.
- Ability to learn to perform cross-functional operations.
Preferred Skills:
- Strong understanding of aerospace documentation requirements, including certifications, FAIRs, and quality clauses.
- Familiarity with customer source inspection processes and appointment scheduling.
- Experience reviewing purchase orders and ensuring documentation completeness prior to shipment.
- Proficiency in ERP and document management systems (JobBOSS, Epicor, QT9, Smartsheet, or equivalent).
- Exceptional organizational skills with attention to detail and accuracy.
- Ability to communicate clearly with internal departments and external customer representatives.
- Working knowledge of material certifications, lot traceability, and labeling/marking standards.
- Basic knowledge of inspection travelers and production flow.
- Ability to prioritize multiple shipments and maintain focus under time-sensitive conditions.
- Commitment to maintaining 5S standards and supporting cross-functional operations.

Job Details
Type: Full Time
Schedule: First Shift- 6:00am – 2:30pm Monday – Friday, Overtime is available.
Hourly Pay Range: $25-33 (based on experience)
Base Location: Ontario, CA
Travel: This role will not require travel typically; some travel may be required- Up to 5% / As needed for Hera Technologies request
