Role Overview

The Contracts Administrator supports the end-to-end quoting, order entry, and contract administration process, ensuring accuracy, compliance, and timely execution. This role serves as a key link between customers, sales, and internal teams, helping translate customer requirements into actionable orders while maintaining data integrity across systems. This is a hands-on, detail-oriented role ideal for someone who thrives in a fast-paced, evolving manufacturing environment and enjoys cross-functional collaboration.

Key Responsibilities

    • Support the quote-to-order process, including RFQ intake, quote preparation, and order entry
    • Review and process customer purchase orders (POs) to ensure alignment with quotes and internal capabilities
    • Assist with contract review and compliance checks, escalating risks or discrepancies as needed
    • Coordinate with operations, engineering, quality, and finance to ensure accurate and timely order execution
    • Maintain and update ERP system data, including customer orders, pricing, and delivery requirements
    • Track and process PO revisions, including changes to quantities, pricing, drawings, and delivery schedules
    • Serve as a point of contact for customers on order status, documentation, and basic inquiries
    • Support maintenance of pricing data and standard quotes for repeat business
    • Assist in improving workflows, documentation, and process standardization across quoting and contracts
    • Ensure proper documentation and record-keeping to support audit and compliance requirements

Required Qualifications

    • 2–5 years of experience in contracts administration, quoting, sales operations, or order management, preferably in a manufacturing or supply chain environment
    • Strong attention to detail and ability to manage multiple priorities in a fast-paced environment
    • Excellent written and verbal communication skills
    • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
    • Ability to interpret and manage structured data and documentation with accuracy

Preferred Qualifications

    • Experience in aerospace, defense, or regulated manufacturing environments
    • Familiarity with ERP/MRP systems (e.g., JobBoss, Epicor, E2, NetSuite, or similar)
    • Exposure to engineering drawings or Bills of Materials (BOMs)
    • Basic understanding of contract terms and conditions, including government contracting (FAR/DFARS)
    • Familiarity with ISO 9001 or AS9100 standards

Additional Requirements

  • Willingness to work long hours and weekends when needed to meet critical deadlines
  • Willingness to travel to customers’ locations or other Hera sites as needed
  • Ability to use a computer and most common software programs to complete assignments
  • Ability to communicate with individuals and groups in person, by phone and online

Your actual level and base salary will be determined on a case-by-case basis and may vary based on the following considerations: job-related knowledge and skills, education, and experience.
